We are seeking a highly organised and proactive Administrator to join our clients busy team in Wollaston. This is a varied role that combines customer service, administration, order processing, and operational support. The successful candidate will play a key role in ensuring the smooth day-to-day running of the office while providing excellent support to customers, management, and internal departments. The ideal candidate will possess strong communication skills, excellent attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Duties and Responsibilities
Customer Service & Reception
Answer incoming telephone calls professionally and direct enquiries to the appropriate department.Manage and respond to customer emails in a timely and efficient manner.Welcome visitors and provide general reception support.Take accurate messages and ensure they are communicated promptly.Act as a first point of contact for customer enquiries and provide excellent customer service.Administration & Data Management
Maintain and update customer records accurately within Dynamics 365.Input and process sales orders on Dynamics 365.Prepare and send customer documentation including:Product data sheetsQuotationsOrder acknowledgements and confirmationsEnsure all administrative records are accurate, up to date, and compliant with company procedures.Provide general administrative support across departments as required.Order Processing & Logistics
Process customer orders and prepare documentation for dispatch.Allocate and schedule customer orders for shipment.Liaise with internal teams to ensure orders are fulfilled accurately and on time.Book deliveries through external haulier and courier portals.Monitor delivery schedules and communicate updates to customers where required.Support the Goods Out function to ensure efficient dispatch operations.Business Support
Provide administrative support to the Office Manager and Procurement team.Assist management with reporting, data entry, and document preparation.Support continuous improvement of administrative processes and procedures.Work collaboratively with all departments to ensure smooth operational workflows.Skills and Experience
Previous experience in an administrative, office support, or customer service role.Strong IT skills, including Microsoft Office (Word, Excel, Outlook).Excellent written and verbal communication skills.High level of accuracy and attention to detail.Strong organisational and time-management skills.Ability to prioritise workload and work independently.Professional and friendly telephone manner.Additional Info

Position: Account Executive

This is a Part Time Role.
Proactive currently have an exciting opportunity for a Account Executive to begin work for a leading manufacturing and production business in Haddenham.
Due to rapid company expansion and an ever growing order book, our client is hoping to recruit at least one additional Account Executive to help ensure the quality and accuracy of the factory's function is well maintained throughout this new and excited influx of work.
You will be responsible for:
Develop and maintain working relationships with key customer contacts in collaboration with the Account Manager. Attends customer meetings as required to review and develop the account; ensuring the business exceeds customer expectations and responds to all client requests.Co-ordinate the order planning with each customer, from initial order placement into the factory to final shipment. Handling customer purchase orders and getting the orders out on the day.Work cohesively with Buyers to ensure kit clearance and maintain continuous communication with the production, quality, engineering and despatch teams to ensure timely production and delivery of goods.Support and co-ordinate as required the Requests for Quotation (RFQs) process to help win the order.Identify issues and problems such as Return Material Authorisation (RMAs), carrier issues and late deliveries and work collaboratively with other departments to find solutions.Interpret and report on customer feedback to internal departments.Send daily/weekly reports as requested. Open order books, stock reports, despatch and delivery reports, PODs and RMA reports to internal and external customers.Maintain a good understanding of each customer's products and their industry sector.Monitor all customer service emails and answer, deal with or re-direct all telephone calls to the business. Answer door buzzer and welcome visitors.
Experience:
Excellent communication and interpersonal skills; professional and helpful to all customers and stakeholders with the ability to engage and develop strong working relationships.
Experience of managing or co-ordinating accounts within a manufacturing environment.
Confident to work with commercial data and order timeframes.
Willing to speak up when there is an issue and get support to find a suitable solution for the customer.
Able to handle multiple tasks and remain calm and composed under pressure.
Comfortable to plan, prioritise tasks and work at pace to deliver to tight deadlines.
Good computer literacy: Proficiency in MS Office (Outlook, Word & Excel).
Previous experience of using an MRP or stock management system would be beneficial.

The position will see you responsible for inquiries (order status, stock availability, pricing, company policies, returns authorization processing, requests for documentation, etc). This is an office based role and ideal applicants will come with experience of working within a customer service based role and should enjoy working in a fast-paced, collaborative environment.
Daily activities include:
