Facilities & Maintenance Coordinator

About the Role

An established UK manufacturing business is looking to appoint a Facilities & Maintenance Coordinator to take ownership of the day-to-day maintenance, upkeep and smooth running of its manufacturing and office facilities.

With a close-knit workforce and a practical, hands-on working environment, this is an excellent opportunity for someone who enjoys being hands-on, organised and proactive, while also taking responsibility for coordinating contractors, managing planned maintenance and ensuring equipment servicing and compliance records are kept up to date.

The successful candidate will become a key point of contact for facilities and maintenance matters, helping to ensure the site remains safe, compliant, well maintained and operationally efficient.

Key Responsibilities

Facilities & Building Maintenance

  • Carry out day-to-day building maintenance and minor repairs across the factory, offices and wider site.
  • Undertake practical tasks including minor plumbing, carpentry, painting, door and lock repairs and general building maintenance.
  • Conduct regular site inspections to identify maintenance requirements, potential hazards and areas for improvement.
  • Maintain high standards of cleanliness, presentation and general site condition.
  • Identify issues requiring specialist support and arrange appropriate contractors where necessary.
  • Take ownership of facilities-related issues from identification through to completion.

Machinery & Maintenance Management

  • Maintain accurate records of servicing, inspections and maintenance for factory machinery and equipment.
  • Monitor planned servicing schedules and ensure inspections and statutory checks are completed within required timescales.
  • Coordinate planned preventative maintenance activities to minimise equipment downtime.
  • Maintain organised service records, certificates and supporting documentation.
  • Ensure maintenance information is readily available for internal reviews, audits and compliance requirements.
  • Work closely with production and other internal teams to plan maintenance activities around operational requirements.

Contractor & Supplier Management

  • Source and coordinate external contractors for maintenance, servicing, inspections and specialist repairs.
  • Obtain quotations where required and assist with selecting appropriate suppliers.
  • Schedule contractor visits to minimise disruption to manufacturing operations.
  • Meet and supervise contractors on site, ensuring work is carried out safely and to the required standard.
  • Ensure contractors understand and comply with site rules, safety procedures and relevant requirements.
  • Maintain effective relationships with key suppliers and service providers.

Health, Safety & Compliance

  • Support the business in maintaining a safe and compliant working environment.
  • Assist with facilities and equipment-related risk assessments.
  • Carry out routine checks and promptly identify and report potential hazards.
  • Maintain appropriate records relating to inspections, servicing and compliance.
  • Support the implementation of corrective actions arising from inspections or risk assessments.
  • Ensure external contractors follow appropriate health and safety procedures while working on site.

Skills & Experience

The ideal candidate will have:

  • Previous experience in facilities, site maintenance, engineering maintenance or a similar role, ideally within a manufacturing or industrial environment.
  • A practical, hands-on approach with experience carrying out general maintenance and minor repairs.
  • Good working knowledge of basic plumbing, carpentry, painting and general building maintenance.
  • Strong organisational skills and the ability to maintain accurate records and schedules.
  • Experience coordinating contractors, engineers or external service providers.
  • Good communication skills and the confidence to work with people at all levels of an organisation.
  • The ability to prioritise competing tasks and respond effectively to issues within a busy manufacturing environment.
  • A proactive approach, with the ability to identify potential problems before they become operational issues.

Desirable Experience

  • Experience maintaining or coordinating facilities within an industrial or manufacturing environment.
  • Experience working within an established manufacturing site with a range of machinery and equipment.
  • Knowledge of UK Health & Safety requirements within a workplace or manufacturing environment.
  • Experience using maintenance management or service tracking systems.
  • IOSH qualification or similar health and safety training would be advantageous, but is not essential.
